We are looking for a bright and enthusiastic junior to join us as an Assistant Studio Manager.
You'll need outstanding commincations skills and an excellent understanding of professional photography studios and equipment. Sure, you might have more to learn, but we're certainly not looking for a beginner so you'll need to impress us with good credentials, relevent experience and appropriate references to even get a foot in the door for an interview.
The successful applicant will work with us across every aspect of the Eleven40 business and will potentially graduate to the position of studio manager should they prove themselves. You'll get to work with some of the best photographers, directors and producers in the business, you'll have the best studio and equipment resources in Melbourne at your disposal, while also learning and helping out with business management, marketing and social media. The role will be hugely varied and is a rare opportunity to land a permenant position in a creative and dynamic business.
Skills & Experience that might get you an interview
- Experience with Profoto, Phase One, Canon, Nikon, Hasselblad equipment
- Experience as a photographic assistant, producer or similar
- Good knowledge of Photoshop, Indesign & Creative Suite
- Knowledge of web CMS, HTML
- Strong office and administrative skills
- Fine art printing, gallery or hospitality experince (so long as it's supported by other items above)
- Good general IT knowledge

You will be the face and
voice of the agency, providing all clients, colleagues and supply partners an
experience that makes their day better. Responsible for managing the day to day
running of the office including reception, meeting management and office
administration. Acting as the front face of the agency as well as Personal
Assistant to Directors as required.
Key Areas of Responsibility
Act as the front face of the agency to ensure the
tone and mood reflects our positioning
Provide friendly and professional communication to
anyone coming into the agency
Forge strong relationships with agency personnel and
support the team with general administration needs
· Answer and screen telephone calls and take messages when colleagues are
· Ensure all messages are passed on promptly and clearly
· Field and direct client phone enquiries to the most appropriate staff
Communicate with internal staff regularly, effectively & appropriately on
all office needs
Get to know all the clients of the agency –
including their first names
Provide verbal updates to management of any issues
Ensure all problems are discussed & resolved as
quickly as possible
Communicate with external parties such as couriers
or suppliers when required
Manage all issues in a timely & efficient manner
Provide personal assistance to the directors as
Greet and escort visitors to the appropriate area or
· Maintain absolute confidentiality around proceedings and work circulating
· General administrative duties such as couriers, mail, ordering supplies and arranging taxis /
On top of boardroom bookings/catering and tidy up where required
Order and manage all stationery and consumables for
Assist internal agency staff with admin/secretarial
Collate/type minutes of agency meetings as requested
· Provide organisational support for staff and client functions
Update and maintain the office procedures manual and
HR manual (in conjunction with directors)
Perform ad hoc tasks such as banking, shopping for
staff amenities, etc
Ensure the office is tidy and clean and raise any
issues with office cleaners.
Manage entries into Agency database and CRM database
Assist with preparing Creative Award entries
stationery budgets to ensure agency expenses are controlled
on taxi & courier invoices to project managers to ensure costs are charged
efficient administrative and reception skills
to keeping office environment clean and tidy
understanding of agency environment and value of client relations
front face of the agency – friendly and easy to communicate with
