Infinity Squared is on the hunt, for a bright, enthusiastic, kick-ass FOH/account executive.

The overall purpose of this role is to support the business by running the office and keeping it organised, well stocked (plenty of stationary, snacks and booze) as well as supporting the client service team.

So if you are an organised, efficient person (who likes coloured stationary), has a bucket load of initiative, loves coming up with ideas and is always up for a challenge then weâd love to hear from you.

The ideal candidate will have a minimum of 2 years previous experience in a similar role and a comprehensive understanding of office management, great Apple Mac computer skills, excellent communication skills and a proven history of running an office. In return we will support you to learn and grow to be excellent in account and project management.


  • General office management - Administrative and executive support related tasks

    • Managing the diaries of the Managing partners of the business

    • Assisting the Management team with daily admin

    • First point of contact with clients (greeting, phones, organising rooms & orders, etc)

    • Booking of meeting rooms & resources (equipment, rooms, etc)

    • Driving team culture and team activities

  • Implementing systems to ensure the smooth running of the office

  • Manage and ensure all company policies and operation manual outlining all aspects of client service and project management procedure and induction manual reviewed and updated on regular basis.

  • Support traffic manager on the WorkflowMax & Harvest Forecast system when required - ensure adequate resourcing (full-time and freelancers), assisting traffic manager with monitoring project schedules and workloads, timelines and critical issues

  • Work with project director, producers and finance to review folders for accuracy of all pricing and other specifications and ensure the information is properly distributed to the finance department for invoicing

  • Build and develop relationships with peers and others to exchange feedback on product/service issues, identify and/or solve problems, assess needs, and/or achieve business results

  • Establish operating rhythm as well as for internal meetings to increase efficiency, highlight ownership of key initiatives and increase accountability

  • Assisting production team as needed (pitches, active productions and post production)

  • Management of Interns


â At least 2 years previous experience in a similar role

â Strong administrative and multi-tasking skills.

â Strong attention to details and good customer service skill

â Great energy levels and a positive attitude.

â Must love using your initiative and working autonomously with deadline oriented

â Excellent communication skills

â Confident using: Apple Mac, Microsoft Office, Google Suite and diary management

â Bonus to have: WorkflowMax, Asana and Harvest Forecast
