This is a start up software development company. After the success of Arena Tickets (Formally Icebox Tickets) which is the booking system for ice skating tickets we decided to create the ultimate ticketing system which could cater for all event and booking requirements from gym memberships, charity events, festival, cinema's and sporting events.
My role from was researching competitors, perform SWOT analysis, define USP’s and finally producing the software requirements specification for the developers. My ongoing role is a weekly meeting to speak about the new features added to the system, the next section of the SRS to be built and testing for bugs.
Providing admin and office support for onsite Project and Site Managers including ordering stationary, devising and maintaining office systems, data management, filing, booking accommodation and travel
Basic PA duties - phone screening, dairy and meeting management, creating sponsorship presentations, writing and actioning minutes
Develop marketing and action plans, sourcing and booking all forms of media advertising
Record and manage all legal paperwork to do with the project including RAMS
Develop and reconcile budgets, manage allocations and payments
Managing artwork for print media and signage
Social media and website - update and refine the websites, daily social media updates, weekly eshots
Develop and update the ticketing website, full online/box office ticketing software and hardware management, box office training and support and stock control
Supplier liaison and PO management and booker
Customer service for all ice rinks, managing complaints, answering and phone calls, manage school and hospitality bookings
Reception & Executive PA to the MD & Creative Director - phone answering, diary management, organise travel arrangements and accommodation
Administration - responding to incoming email and phone enquiries for sculptures and ice cube orders
Sales process - quoting, relationship management, follow ups, completing and recording the sale of the sculpture
Marketing Activity - managing and arranging for the effective distribution of marketing materials, including leaflets, flyers and e-shots.
Financial Management - marketing budgets, sales targets, sculpture invoicing and pre-payments
Website management – Updating the blog, gallery and general service updates of Icebox website. Development from the start to completion of the Vodka Luge Website
Social Media management – Twitter, Facebook, Instagram, Pinterest, YouTube
Marketing Activity - organising, marketing and advertising for events, social media profiles, send weekly email newsletters, updating company website. Designing and efficiently distributing POS for events and promotions
Interacting with customers (including serving food and drink) and ensuring that high standards of customer service are maintained
Ensuring that the site adheres to various legal frameworks, local community, police and liquor licensing authorities
Stock checks, food & drink orders
Recruiting, training and managing a workforce of around 25 people
Monitoring profitability and performance to ensure sales targets are met if not exceeded
Booking and confirming delegates for training course
Organise the training which included distribution of materials
Overseeing the travel arrangements, accommodation and general hospitality requirements for the delegates and lecturers’
Managing training records and course content.
